A district employee can still respond to the customer via Onflo (formerly Let\u2019s Talk), but will not be given the customer\u2019s name or contact information. The system will send communications while keeping the customer\u2019s identity hidden to the district. <\/span><\/li><li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Next steps: Respond to the ticket, and close out when the ticket has been resolved.<\/span><\/li><\/ul><p><span style=\"font-weight: 400;\">Anonymous Customers: Customers who leave the contact information fields completely blank<\/span><\/p><ul><li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">What does this mean?: The district is unable to respond to the customer. The Onlfo system is not given an email to send replies back to, therefore this ticket is completely anonymous. <\/span><\/li><li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Next steps: <\/span><ul><li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Although an anonymous Ticket doesn\u2019t offer an opportunity to respond directly to the Customer, remember that there may be a legitimate reason that this message was sent to your attention.<\/span><\/li><li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">If it\u2019s not a legitimate message, close the Ticket and move on.<\/span><\/li><li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">If the message requires some follow-up, re-assign it, as usual, letting the right district staff members know about the feedback. Add tags, provide internal comments, and note actions taken to track any follow-up work completed.<\/span><\/li><li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Again: No response is required, but anonymous Tickets must still be closed!<\/span><\/li><\/ul><\/li><\/ul><h3>Setting Expectations<\/h3><ul><li>In the platform itself and through all communications, customize your language to make it clear that all feedback is welcome, but only messages including contact information will receive direct follow-up.<\/li><li>Landing page welcome messages and topic introductions remind people of their options before they submit.<\/li><li>After submitting, onscreen thank-you messages remind those who submit anonymously that they won't be receiving direct responses.<\/li><\/ul><h3>Dealing with Anonymous Tickets<\/h3><ul><li>Although an anonymous Ticket doesn't offer an opportunity to respond directly to the Customer, remember that there may be a legitimate reason that this message was sent to your attention.<\/li><li>If it's not a legitimate message, close the Ticket and move on.<\/li><li>If the message requires some follow-up, re-assign it as usual, letting the right district staff members know about the feedback. Add tags, provide internal comments, and note actions taken to track any follow-up work completed.<\/li><li>Again: No response is required, but anonymous Tickets must still be closed!<\/li><\/ul><p>Beyond the platform, follow-up on issues or questions raised through anonymous Tickets can be shared out through public communications. For example, district newsletters, online FAQs, and other resources can carry updates on the steps the district has taken to deal with reported issues.<\/p><p>Show you're listening, even to those with no names.
