This helps teams collaborate across departments by keeping all related actions and approvals within a single ticket. Each task can include a name, description, and owner, allowing you to clearly define responsibilities and ensure nothing is missed.<\/span><\/p><h2><b>Task Types<\/b><\/h2><p><span style=\"font-weight: 400;\">There are two types of tasks you can add to a ticket in Onflo: <\/span><b>Normal Tasks<\/b><span style=\"font-weight: 400;\"> and <\/span><b>Approval Tasks<\/b><span style=\"font-weight: 400;\">.<\/span><\/p><h4><b>Normal Tasks<\/b><\/h4><p><span style=\"font-weight: 400;\">Normal Tasks are used to track actions or responsibilities related to a ticket. These can be assigned to any user or group within your organization.<\/span><\/p><p><span style=\"font-weight: 400;\">Use Normal Tasks for:<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Gathering additional information or documentation<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Assigning follow-up actions to other users<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Coordinating tasks between departments<\/span><\/li><\/ul><p><span style=\"font-weight: 400;\">Once a Normal Task is completed, the assignee can mark it as <\/span><b>Complete<\/b><span style=\"font-weight: 400;\">, and the update will appear in the ticket\u2019s task list.<\/span><\/p><h4><b>Approval Tasks<\/b><\/h4><p><span style=\"font-weight: 400;\">Approval Tasks are used when a specific person\u2019s approval is required <\/span><b>before a ticket can be submitted or processed<\/b><span style=\"font-weight: 400;\">.<\/span><\/p><p><span style=\"font-weight: 400;\">Use Approval Tasks for:<\/span><\/p><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Procurement or purchasing approvals<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Budget or expense confirmations<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Department head or manager sign-offs<\/span><span style=\"font-weight: 400;\"><br \/><\/span><\/li><\/ul><p><span style=\"font-weight: 400;\">This ensures that all necessary authorizations are in place before work continues.<\/span><\/p><h2><b>Adding Tasks to a Ticket<\/b><\/h2><p><span style=\"font-weight: 400;\">Creating <\/span><b>Normal <\/b><span style=\"font-weight: 400;\">and <\/span><b>Approval <\/b><span style=\"font-weight: 400;\">tasks is very similar. See below for directions for each type of task:<\/span><\/p><h4><b>Normal Task<\/b><\/h4><ol><li><span style=\"font-weight: 400;\">Open the <\/span><b>ticket<\/b><span style=\"font-weight: 400;\"> you want to add a task to (for example, a Facilities request).<\/span><\/li><li><span style=\"font-weight: 400;\">Select <\/span><b>Add Task<\/b><span style=\"font-weight: 400;\"> from the ticket options.<\/span><\/li><li><b><span style=\"font-weight: 400;\">Enter the following details:<\/span><\/b><\/li><\/ol><ul><li style=\"list-style-type: none;\"><ul><li><b>Task Type <\/b><span style=\"font-weight: 400;\">- Normal<\/span><span style=\"font-weight: 400;\">Enter the following details:<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"2\"><b>Name<\/b> - A short, descriptive title<\/li><li style=\"font-weight: 400;\" aria-level=\"2\"><b>Description<\/b><span style=\"font-weight: 400;\"> - Optional details or context for the assignee<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"2\"><b>Assign Task Owner<\/b><span style=\"font-weight: 400;\"> \u2013 The user responsible for completing the task<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"2\"><b>Due Date <\/b><span style=\"font-weight: 400;\">- When will this task be completed<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"2\"><b>Status <\/b><span style=\"font-weight: 400;\">- Select one of the following:<\/span><\/li><\/ul><\/li><\/ul><p><b><\/b><span style=\"font-weight: 400;\">4. Click <\/span><b>Save<\/b><span style=\"font-weight: 400;\"> to attach the task(s) to the ticket.<\/span><\/p><p><span style=\"font-weight: 400;\">The task status will be \u201cPending Approval\u201d until the assigned approver reviews and approves the task. <\/span><\/p><h2><b>Modify Tasks<\/b><\/h2><p><span style=\"font-weight: 400;\">Once tasks are generated, you can edit tasks by clicking <\/span><b>Edit <\/b><span style=\"font-weight: 400;\">on the task line under the <\/span><b>Tasks <\/b><span style=\"font-weight: 400;\">tab<\/span><\/p><p><img decoding=\"async\" class=\"aligncenter size-full wp-image-15203\" src=\"https:\/\/www.k12insight.com\/kc\/wp-content\/uploads\/2025\/11\/Screenshot-2025-11-07-155049.png\" alt=\"\" width=\"1193\" height=\"277\" \/><\/p><h4><b>Edit Task<\/b><\/h4><p><span style=\"font-weight: 400;\">If you need to update information within a task, click <\/span><b>Edit. <\/b><span style=\"font-weight: 400;\">This will allow you to access the form to modify the following fields:<\/span><\/p><ul><li aria-level=\"1\"><b>Task Name<\/b><\/li><li aria-level=\"1\"><b>Task Description<\/b><\/li><li aria-level=\"1\"><b>Task Owner<\/b><\/li><li aria-level=\"1\"><b>Task Due Date<\/b><\/li><li aria-level=\"1\"><b>Task Status<\/b><\/li><\/ul><h4><b>Close Task<\/b><\/h4><p><span style=\"font-weight: 400;\">To update the status of the ticket, click <\/span><b>Edit. <\/b><span style=\"font-weight: 400;\">At the bottom of the form you can choose the <\/span><b>Status <\/b><span style=\"font-weight: 400;\">under the drop-down menu, then click <\/span><b>Save. <\/b><span style=\"font-weight: 400;\">To resolve a <\/span><b>Normal<\/b><span style=\"font-weight: 400;\"> task, select <\/span><b>Close <\/b><span style=\"font-weight: 400;\">as the status. <\/span><\/p><h4><b>Edit View<\/b><\/h4><p><span style=\"font-weight: 400;\">If you have multiple tasks on a ticket you can re-order the tasks in the <\/span><b>Tasks <\/b><span style=\"font-weight: 400;\">tab by grabbing the grid in the task line. This allows you to move the tasks to visually prioritize tasks.\u00a0<\/span><\/p><p><img decoding=\"async\" class=\"aligncenter size-full wp-image-15204\" src=\"https:\/\/www.k12insight.com\/kc\/wp-content\/uploads\/2025\/11\/Screenshot-2025-11-07-161200.png\" alt=\"\" width=\"1192\" height=\"280\" \/><\/p><h4><b>Delete Task<\/b><\/h4><p><span style=\"font-weight: 400;\">To remove a task, hover your cursor over the task, then click the trash can icon within the task. Onflo will prompt you to confirm your choice.
