{"id":127,"date":"2015-12-31T00:00:58","date_gmt":"2015-12-31T00:00:58","guid":{"rendered":"http:\/\/www.k12insight.com\/kc\/?post_type=article&#038;p=127"},"modified":"2026-01-08T01:50:57","modified_gmt":"2026-01-08T01:50:57","slug":"how-to-use-ticket-aging","status":"publish","type":"post","link":"https:\/\/www.k12insight.com\/kc\/how-to-articles\/how-to-use-ticket-aging\/","title":{"rendered":"How to Use Ticket Aging"},"content":{"rendered":"\t\t<div data-elementor-type=\"wp-post\" data-elementor-id=\"127\" class=\"elementor elementor-127\" data-elementor-post-type=\"post\">\n\t\t\t\t\t\t<section class=\"elementor-section elementor-top-section elementor-element elementor-element-5de26930 elementor-section-boxed elementor-section-height-default elementor-section-height-default\" data-id=\"5de26930\" data-element_type=\"section\">\n\t\t\t\t\t\t<div class=\"elementor-container elementor-column-gap-default\">\n\t\t\t\t\t<div class=\"elementor-column elementor-col-100 elementor-top-column elementor-element elementor-element-33c60c16\" data-id=\"33c60c16\" data-element_type=\"column\">\n\t\t\t<div class=\"elementor-widget-wrap elementor-element-populated\">\n\t\t\t\t\t\t<div class=\"elementor-element elementor-element-599e3645 elementor-widget elementor-widget-text-editor\" data-id=\"599e3645\" data-element_type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p>While all users can access their own relevant reports on the Dashboard, System Administrators help to make that information as meaningful as possible by customizing reporting settings.<\/p><h2>Ticket Aging Settings<\/h2><ul><li><span style=\"font-weight: 400;\">Fine-tune how Tickets age to make your metrics matter.<\/span><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Go to <\/span><b>Settings &gt; Ticket Aging (under Reporting) &gt; Ticket Aging Settings.<\/b><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Be sure to click Save in the top right-hand corner to confirm any updates.<\/span><\/li><\/ul><\/li><\/ul><h4>Performance Indicator Start Date<\/h4><ul><li>Identify the starting date from which you would like to measure your district's performance indicators.<\/li><li>This information will be used in generating Overview reports.<\/li><li>By default, all Tickets received over the life of your account will be displayed in the Overview report.<\/li><\/ul><h4>Business Hours<\/h4><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Identify the hours during which staff members are actively working and expected to respond to Ticket.<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">This information is used to calculate Ticket aging. Tickets will only age during these hours.<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">For departments or teams with unique operating hours, click \u201c+ Add an Exception\u201d to select the Topics or Categories to set different working hours.<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">By default, business hours are set as 9:00 AM to 5:00 PM.<\/span><\/li><\/ul><h4>Performance Indicator Display Threshold<\/h4><ul><li>Identify the minimum number of Tickets required before Average Ticket Age and Average Feedback Score will be displayed.<\/li><li>This information will be used in generating Overview reports in the Dashboard.<\/li><li>By default, no minimum threshold is set.<\/li><\/ul><h4>Average Ticket Age Display<\/h4><ul><li>Identify how the average age of Tickets is displayed, whether by days, hours, or hours and minutes.<\/li><li>This information will be used in displaying Average Ticket Age in both My Performance and Overview reports in the Dashboard.<\/li><li>By default, average age is displayed in days.<\/li><\/ul><h4>Past Due Definition<\/h4><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Identify the point at which a Ticket becomes overdue, in keeping with expectations set in all internal and external communication.<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">This information will be used in displaying the Past Due count shown in My Performance and Overview reports on the Dashboard. For example, if past due is defined as 2, all Tickets older than two days will be added to this count.<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">For departments or teams with unique reply-time expectations, click \u201c+ Add an Exception\u201d to select the Topics or Categories to provide custom past due requirements.<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">By default, past due is defined as 5 days.<\/span><\/li><\/ul><h2><strong>Calendar Settings<\/strong><\/h2><h4><strong>School Year Start Date<\/strong><\/h4><ul><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Identify the month and date that begin your school year.<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">This information will be used when generating reports on the Insights section of the Dashboard.<\/span><\/li><li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">By default, July 1 is selected.<\/span><\/li><\/ul><h4>Exclude Days From Ticket Aging<\/h4><ul><li>Identify which days count against Ticket age. Double-click on days to be excluded and enter the reason (Holiday, Spring Break, etc.).<\/li><li>This information will be used in all Ticket age calculations across the Dashboard.<\/li><li>By default, weekends and common holidays are already excluded. If any excluded days should count for your calendar, single-click the relevant dates.<\/li><li><span style=\"font-weight: 400;\">If you exclude the current or past days from ticket aging, the system will not update the data until the following day.<\/span><\/li><\/ul>\n<table id=\"tablepress-7\" class=\"tablepress tablepress-id-7\">\n<thead>\n<tr class=\"row-1\">\n\t<th class=\"column-1\">Field Title<\/th><th class=\"column-2\">Description<\/th>\n<\/tr>\n<\/thead>\n<tbody class=\"row-striping row-hover\">\n<tr class=\"row-2\">\n\t<td class=\"column-1\">Business Hours<\/td><td class=\"column-2\">Define the business hours staff members are actively working. A Ticket\u2019s age will only accrue during these hours.<\/td>\n<\/tr>\n<tr class=\"row-3\">\n\t<td class=\"column-1\">Past Due Definition<\/td><td class=\"column-2\">Determine when a Ticket will be considered Past Due. For example, any Tickets which are older than five business days are considered Past Due by default.<\/td>\n<\/tr>\n<tr class=\"row-4\">\n\t<td class=\"column-1\">Performance Indicator Display Threshold<\/td><td class=\"column-2\">Set the minimum number of Tickets required in order to display the Average Ticket Age and Average Feedback Score in the Dashboard. These indicators will not be display until the number of Tickets set here is received.<\/td>\n<\/tr>\n<tr class=\"row-5\">\n\t<td class=\"column-1\">Average Ticket Age Display<\/td><td class=\"column-2\">Set how the Average Ticket will display in the Dashboard. Users can select Days, Hours, or Hours &amp; Minutes.<\/td>\n<\/tr>\n<tr class=\"row-6\">\n\t<td class=\"column-1\">School Year Start Date<\/td><td class=\"column-2\">Set the start date for your school year. In the Dashboard, when you select Current Year from the Period menu, this date will determine the first day of the school year.<\/td>\n<\/tr>\n<tr class=\"row-7\">\n\t<td class=\"column-1\">Exclude Days from Ticket Aging<\/td><td class=\"column-2\">Use the calendar feature to indicate which day(s) should not be included when calculating a Ticket\u2019s Age. By default, weekends and common holidays are excluded. To remove a weekend or common holiday from the list of excluded days, simply single-click the desired date.
