With this clear and concise layout, teams can efficiently navigate and manage topics, ensuring no important details are overlooked.&nbsp;<\/p>\n<h2><b>Setting Up Topics and Categories<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">Navigate to <\/span><b>Settings<\/b><span style=\"font-weight: 400;\">. Then click&nbsp;<\/span><b>Tickets<\/b><span style=\"font-weight: 400;\">, then&nbsp;<\/span><b>Topic Manager<\/b>, then<b> Topics<\/b><span style=\"font-weight: 400;\">. At the top of the page are tabs for&nbsp;<\/span><b>Topics<\/b><span style=\"font-weight: 400;\"> and <\/span><b>Categories<\/b><span style=\"font-weight: 400;\">. Districts can customize and organize Onflo pages so customers can easily find the topic or issue about which they intend to submit feedback.<\/span><\/p>\n<p><span style=\"font-weight: 400;\"><img fetchpriority=\"high\" decoding=\"async\" src=\"https:\/\/www.k12insight.com\/kc\/wp-content\/uploads\/2026\/03\/Topics-Manager-GIF.gif\" alt=\"\" width=\"1920\" height=\"1080\"><\/span><\/p>\n<p><b>Topics<\/b><\/p>\n<p><span style=\"font-weight: 400;\">Topics are areas of interest where a district is seeking feedback. Customers will submit a ticket by selecting the button that best describes their needs. Topics may be specific departments such as Transportation or Human Resources, or they may be specific to schools, or address other important district topics.<\/span><\/p>\n<p>From the Topics page users can choose to toggle on <b>Group by Category<\/b> to see all topics grouped together by their respective categories.&nbsp;<\/p>\n<p><b>Categories<\/b><\/p>\n<p><span style=\"font-weight: 400;\">Topics are organized into groups called Categories on the Onflo landing pages. Examples of Categories are Elementary Schools, Central Office Departments, and Transportation. Users can toggle on the <\/span><b>Group by Category<\/b><span style=\"font-weight: 400;\"> option to organize Topics together by Category.&nbsp;<\/span><\/p>\n<h2><b>Adding Categories<\/b><\/h2>\n<ul>\n<li aria-level=\"1\"><span style=\"font-weight: 400;\">From <\/span><b>Settings<\/b><span style=\"font-weight: 400;\"> click the&nbsp;<\/span><b>Topics<\/b><span style=\"font-weight: 400;\"> page under <\/span><b>Topics Manager<\/b><span style=\"font-weight: 400;\">, select <\/span><b>Categories<\/b><span style=\"font-weight: 400;\">, then click <\/span><b>Add Category<\/b>.&nbsp;<\/li>\n<li aria-level=\"1\">Type the name of the category to be created (e.g., Central Office, High Schools, State Policies, etc.).<\/li>\n<li aria-level=\"1\">Select which user should be a <b>Category Administrator<\/b>.&nbsp;<\/li>\n<li aria-level=\"1\">Choose which <b>Landing Page<\/b> the category should be found on.&nbsp;<\/li>\n<li aria-level=\"1\">Users can also make the category private by checking the <b>Make Category Private<\/b> box. Topics in Private Categories cannot be accessed by anyone other than the Category Administrator and the respective Topic Owners.&nbsp;<\/li>\n<\/ul>\n<h2><b>Editing Categories<\/b><\/h2>\n<ul>\n<li aria-level=\"1\">To edit an existing category, check the box to the left of its name and click <b>Edit Category<\/b>.&nbsp;<\/li>\n<\/ul>\n<h2><b>Adding Topics<\/b><\/h2>\n<ul>\n<li><span style=\"color: #000000; font-size: 16px;\">From&nbsp;<span style=\"font-weight: bold;\">Settings <\/span>click&nbsp;the&nbsp;<\/span><b style=\"color: #000000; font-size: 16px;\">Topics<\/b> <span style=\"color: #000000; font-size: 16px; font-weight: 400;\">page under <\/span><b style=\"color: #000000; font-size: 16px;\">Topic Manager<\/b><span style=\"color: #000000; font-size: 16px; font-weight: 400;\">, click on <\/span><b style=\"color: #000000; font-size: 16px;\">Topics<\/b><span style=\"color: #000000; font-size: 16px; font-weight: 400;\"> at the top of the page<\/span><span style=\"color: #000000; font-size: 16px; font-weight: 400;\">.<\/span><\/li>\n<li aria-level=\"1\"><span style=\"font-weight: 400;\">Click on the blue <\/span><b>Add Topic<\/b><span style=\"font-weight: 400;\"> button.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Next, assign a name, category, owner, team member(s), and success messages.&nbsp;<\/span><\/li>\n<\/ul>\n<blockquote>\n<p><b><i>Pro tip:<\/i><\/b><i><span style=\"font-weight: 400;\"> Taking a minute to add an optional introduction for your topic will save time in the long run. Add a welcoming introduction message, and use this space to provide guidance related to frequently requested information and resources.<\/span><\/i><\/p>\n<\/blockquote>\n<ul>\n<li><span style=\"font-weight: 400;\">Click <\/span><b>Save &amp; Close<\/b><span style=\"font-weight: 400;\">, or <\/span><b>Save &amp; Add Another<\/b><span style=\"font-weight: 400;\"> if you have a list of topics to add at once.<\/span><\/li>\n<\/ul>\n<h2><b>Importing &amp; Exporting Topics<\/b><\/h2>\n<h2><span style=\"color: #000000; font-size: 16px; font-weight: 400;\">Multiple topics can be created more quickly by importing them.&nbsp;<\/span><\/h2>\n<ul>\n<li aria-level=\"1\">To Import: Click on the up arrow next to Add Topics, and then follow the instructions to download the template.&nbsp;<\/li>\n<li aria-level=\"1\">Enter the data into the template in the proper columns, save, and upload the file.<\/li>\n<li aria-level=\"1\">To Export: Click on the down arrow and select the categories or topics to export, then click <b>Download<\/b>.&nbsp;<\/li>\n<\/ul>\n<p><img decoding=\"async\" src=\"https:\/\/www.k12insight.com\/kc\/wp-content\/uploads\/2026\/03\/Import-Export-Topics-GIF.gif\" alt=\"\" width=\"1920\" height=\"1080\"><\/p>\n<h2><b>Editing Topics<\/b><\/h2>\n<p><b>For System Administrators:<\/b><\/p>\n<p>Navigate to the <b>Topic Manager <\/b>and select or search for the topic to be edited. Click on the topic name to open the editor. The name of the topic, owners, team members, category, landing page, and even the messaging a customer sees when they choose this topic can be edited. Click <b>Save<\/b> to save changes.<\/p>\n<p><span style=\"font-weight: bold;\">Bulk Edit Topics<\/span><\/p>\n<p>To make changes to multiple topics at once, check the box to the left of two or more topics, then click <b>Bulk Edit<\/b>, and choose from the following options:<\/p>\n<ul>\n<li>Change Category Administrator<\/li>\n<li>Change Topic Owner<\/li>\n<li>Change Team Member<\/li>\n<li>Change Landing Page<\/li>\n<li>Change Message<\/li>\n<li>Change Status of Topics<\/li>\n<li>Create Copy<\/li>\n<li>Change Visibility<\/li>\n<li>Move to a Category<b>&nbsp;<\/b><\/li>\n<\/ul>\n<p><b>Archive Topics<\/b><\/p>\n<p>Check the box to the left of the Topic(s) to be archived and click the <b>Bulk Edit<\/b> dropdown. Select <b>Change Status<\/b>, then <b>Archived<\/b>, then <b>Save<\/b>.&nbsp;<\/p>\n<h2 style=\"font-family: Figtree, sans-serif; color: #1a202c;\">Editing Categories<\/h2>\n<p style=\"font-family: Figtree, sans-serif; color: #1a202c;\"><span style=\"font-weight: 400; color: #000000; font-size: 16px;\">To edit a category, navigate to the <\/span><span style=\"color: #000000; font-size: 16px;\"><b>Categories<\/b><\/span><span style=\"font-weight: 400; color: #000000; font-size: 16px;\"> page from the <\/span><span style=\"color: #000000; font-size: 16px;\"><b>Topic Manager<\/b><\/span><span style=\"font-weight: 400; color: #000000; font-size: 16px;\">. Check the box to the left of the category name, then select <\/span><span style=\"color: #000000; font-size: 16px;\"><b>Edit Category<\/b><\/span><span style=\"font-weight: 400; color: #000000; font-size: 16px;\">. The category name, administrator, and landing page can be edited. The category can also be made private.&nbsp; Note that from the <\/span><span style=\"color: #000000; font-size: 16px;\"><b>Categories<\/b><\/span><span style=\"font-weight: 400; color: #000000; font-size: 16px;\"> page users can also select a category and click the <\/span><span style=\"color: #000000; font-size: 16px;\"><b>Edit<\/b><\/span><span style=\"font-weight: 400; color: #000000; font-size: 16px;\"> button to change a category's owner, visibility, and department.&nbsp;<\/span><\/p>\n<p><b>Delete<\/b><span style=\"font-weight: 400;\">: Check the box to the left of the Category(ies) to be deleted, then select <\/span><b>Delete<\/b><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p><b><i>Note<\/i><\/b><span style=\"font-weight: 400;\">: <\/span><i><span style=\"font-weight: 400;\">A Category cannot be archived if it contains assigned topics. The assigned Topics must first be removed before archiving the Category.<\/span><\/i><\/p>\n<h2><strong style=\"color: #1a202c; font-size: 28px;\">Marking a Category or Topic Private<\/strong><\/h2>\n<h6 style=\"font-family: Figtree, sans-serif; color: #4a5568;\"><span style=\"color: #000000; font-size: 16px; font-weight: 400;\">Activating this feature will keep ticket access restricted certain users. When creating a category or topic choose from the following options for access:<\/span><\/h6>\n<ul style=\"color: #000000; font-size: 16px; font-weight: 400;\">\n<li><strong>Automatically grant access:&nbsp;<\/strong>All the critical tickets in this category\/topic will be accessible by the critical alerts team automatically based on the keywords set in the critical alerts settings.&nbsp;<\/li>\n<li><strong>Owner\/Admins to grant access:&nbsp;<\/strong>Topic owners, category admins, and system admins will be asked on the ticket page to grant the critical alerts team access to critical tickets on this topic, based on the keywords set in the critical alerts settings.<\/li>\n<\/ul>\n<div><img decoding=\"async\" src=\"https:\/\/www.k12insight.com\/kc\/wp-content\/uploads\/2026\/03\/Marking-Topic-Private.png\" alt=\"\" width=\"2352\" height=\"752\"><\/div>\n<h2><b>Translate Topics<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">The translate feature is integrated within Topics Manager, which makes it easier to manage content in multiple languages. All translation interfaces now offer auto-translation capabilities, allowing users to translate content with the click of a button.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Within the <\/span><b>Topic Manager<\/b><span style=\"font-weight: 400;\">, click the <\/span><b>Translate<\/b><span style=\"font-weight: 400;\"> tab. Then select a language from the dropdown and either add the translation manually or use the Auto-Translation feature. <\/span><b>Save as Draft<\/b><span style=\"font-weight: 400;\"> or <\/span><b>Publish<\/b><span style=\"font-weight: 400;\"> the updates.<\/span><\/p>\n<h2><b>For Topic Owners<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">Topic owners have the ability to edit team members. This option is available under <\/span><b>Settings<\/b><span style=\"font-weight: 400;\">&nbsp;under <\/span><b>User Management<\/b><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">From the Users page, you\u2019ll see a complete list of those who currently have access to the Topics you own. Remember, System Administrators and Global Users have access to all opics, so they are automatically included on the list.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">To edit a user, click on their name or check the box next to their name and click Edit User.
